How cafés usually pool tips
Café tips come from two places: the tip jar on the counter and tips added on card payments. Most cafés put both into one pool and divide it among the baristas and counter staff who worked, in proportion to their hours.
The pool is usually split per day or per week. Daily splits are easier to check against the till; weekly splits mean less counting but more hours to add up. Either way, the arithmetic is the same: total tips, divided by total hours, times each person's hours.
The opener problem
A café's opening barista often clocks in at 6:30 or 6:45 to grind, bake and set up, but the doors open at 7 or later and tips don't start until the first customer pays. Many cafés decide that tip-sharing hours start when tips start. That means:
- An opener who clocked in at 6:45, worked 8 hours, with tips starting at 9:00, shares tips for 5 hours 45 minutes.
- Someone who clocked in after tips started shares for their full hours; no adjustment needed.
- Someone who worked only before tips began shares for 0 hours.
Whether you count pre-opening time is your decision. If you do adjust, the Tips.cx calculator has a helper for it: open "Started before tips began?" under a person, enter clock-in, hours worked and the tips start time, and it fills in the shared hours.
How Tips.cx handles it
The free tip pool calculator takes the jar and card tips together as one total, and each person's hours as 5:30 or 5.5. Cafés that pool cash and card often prefer exact cents, so switch the rounding to cents and every penny is accounted for. The payouts always add up to the total, and leftover cents go to the people closest to the next cent.
Example: $100 in tips, three baristas who each worked 3 hours. Whole-dollar mode pays $34, $33 and $33. The first person on the list receives the extra $1, because all three shares were equally close and their hours were equal too.
Names, the order of your list and your rounding choice can be remembered on your device, so the regular team is ready to go the next morning. Tip amounts and hours are never saved.
With a Tips.cx account, every day's split is kept as a record, with history and a calendar. Staff check their own tips with a PIN, and you can download any dates as a CSV. Start a 7-day free trial, no card needed.
Tips for café tip pools
- Count the jar and pull the card-tip total from your point-of-sale report at the same time each day.
- Decide whether pre-opening hours count, write it down, and apply it the same way every day.
- Keep a simple tip log next to the till until you have saved records.
